Clerk II (holding the functional title of Executive Assistant) /Clerical Assistant in the School of Biomedical Sciences (Ref.: 537573) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance)
The Knowledge Exchange & Global team in the School of Biomedical Sciences is looking for a compassionate, dedicated, and proactive team member to provide administrative support for the HKU Body Donation Programme. If you approach people with warmth and empathy, while bringing a self-motivated, resourceful mindset to your work, we would love to welcome you.
Applicants should possess 5 passes in HKCEE including English (min. Grade C if Syllabus A / Level 2 from 2007), OR min. Level 2 in 5 subjects in HKDSE including English Language, with at least 2 years’ work experience. Preference will be given to those with a diploma in Social Work or Social Sciences, or experience in funeral services, cremation operations, or counselling. Those with lower qualifications and/or less experience will be considered for the post of Clerical Assistant.
While the post is primarily office-based, candidates must be comfortable with occasional visits to the Anatomy Dissection Laboratory during public education events, visits, or media activities, which involves handling life-and-death matters and exposure to anatomical specimens and cadavers.
You should have an excellent command of written and spoken Chinese and English, including the ability to adapt template letters and emails to fit specific donor situations; strong communication and interpersonal skills; and proficiency in PC and various software applications including MS Word, Excel, PowerPoint and Chinese word processing. We seek a reliable team player who can independently handle daily routines and follow through on donor cases using good judgment and established guidelines. Candidates with less experience and/or lower qualifications may be appointed as Clerical Assistant.
You are expected to handle administrative processes efficiently with good phone etiquette. You should demonstrate high initiative—anticipating operational needs, closely monitoring pending cases, and ensuring prompt follow-through to keep administrative procedures moving forward seamlessly.
The appointee will handle core administrative procedures for the Programme, including managing donor records, handling phone and email enquiries with patience and care (particularly when guiding elderly callers and family members through donation procedures and post-death involvement), and ensuring prompt follow-through on time-sensitive donor cases. You will also assist with public education events (such as the annual HKU Body Donation Day), maintain accurate databases, and liaise with internal and external stakeholders, such as the School's Body Donation and Anatomy Education team, bereaved families, and funeral undertakers, with respect and empathy.
Shortlisted candidates will be invited to attend a written test and an interview.
A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits.
The University only accepts online application for the above post. You should apply online at the University's career site (https://jobs.hku.hk) and upload an up-to-date C.V. Review of applications will start from November 5, 2026 and continue until December 22, 2026, or until the post is filled, whichever is earlier.
