Senior Executive Assistant /Executive Assistant (at the rank of Clerk I/II), Office Administration Team, CIO and Librarian Office, Information Technology Services (Ref.: 537403) 

Information Technology Services (ITS) provides central IT services that support the University’s teaching, learning, research and administration. As ITS continues to transform and adopt new technologies, we are strengthening our administrative support to enhance service delivery and operational excellence. We are seeking an experienced, proactive and tech-savvy administrator to join the Office Administration Team and provide high-quality support for ITS. The appointee will work with colleagues at all levels, use digital and AI-assisted tools to streamline daily operations, and strengthen collaboration across the CIO and Librarian Office. With exposure to human resources, finance, procurement, facilities and event management, this role offers a valuable opportunity to develop as a well-rounded administrator within a supportive team.

The Role   

  • Handle HR administration, including recruitment, appointments, contract matters, training coordination and general staff-related support; 
  • Support procurement and finance work, including purchase orders, payments, reimbursements, budget monitoring, documentation and reporting; 
  • Coordinate administrative and logistical support for facilities, departmental events and office activities; 
  • Use digital and AI-assisted tools to prepare reports, analyse data and streamline routine workflows; 
  • Collaborate with the Library Administration Team to support events and other day-to-day administrative work; and 
  • Perform other duties as assigned. 

*Work outside normal office hours may be required for duty-related events. 

Qualifications and Qualities   

  • A Bachelor’s degree with at least 3 years of relevant full-time work experience;
  • A good command of written and spoken English and Chinese; 
  • Strong communication, organisational and problem-solving skills, with the ability to work effectively with diverse stakeholders; 
  • Proficiency in Microsoft Office applications, including Word, Excel and PowerPoint; 
  • Practical experience in using AI tools, such as Microsoft Copilot or similar applications, for drafting, data analysis or workflow improvement, and an openness to adopting new technologies; 
  • Self-motivated, detail-oriented and responsible, with good time management skills and the ability to handle multiple tasks independently; and 
  • Knowledge of advanced digital tools, such as Power Platform, Visio, Photoshop or Adobe Illustrator, and experience in the tertiary education sector would be advantages. 

Candidates with less experience but strong potential may be considered for appointment as Executive Assistant (at the rank of Clerk II).

What We Offer

The appointment will be made on fixed-term full-time contract for 2 years, and commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary. Other benefits include annual leave and medical benefits.
