Senior Executive Assistant, Communications and Public Relations (at the rank of Clerk I) in the Faculty of Business and Economics (Ref.: 537195) (to commence as soon as possible, on a two-year fixed-term basis, with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance)
Applicants should possess a good bachelor’s degree, preferably in Marketing, Communications, or a related discipline, with about 3 to 5 years of full-time work experience in event management, marketing, communications, public relations, or a related field. They should have an excellent command of written and spoken English and Chinese (including Putonghua); detail-minded, good organisational, project management & problem-solving skills, a strong sense of responsibility and the ability to multi-task under pressure. They should be able to work effectively both independently and as part of a team, with good interpersonal and communication skills to collaborate with a wide range of stakeholders both internally and externally. They should also be a keen learner with a curious mindset, willing to take that extra step to explore new ideas and contribute proactively. Knowledge of graphic design tools (e.g. Photoshop, Adobe Illustrator) and video production will be an advantage.
This role is responsible for integrated event management and marketing initiatives that supports the Faculty’s profile, including annual campaign planning, event planning/management, execution, and content/script development, while also contributing to activities that help grow pipeline and engagement outcomes such as programme interest, stakeholder relationships, and collaboration leads.
Responsibilities of the appointee include, but not limited to:
• provide execution support to the team in planning, coordinating, and implementing communication and branding projects, such as conferences, ceremonies, lectures, and delegation visits;
• support all aspects of event management & event-driven collaborations, including project planning, stakeholder communications, vendors liaison, logistics arrangements, on-site operations, inquiries handling, post-event follow-up, and other coordination tasks required by the team;
• collaborate and communicate closely with internal and external parties to ensure smooth operations and facilitate effective project management; and
• support administrative tasks for and on behalf of the team, including managing documentations, supporting procurement and budget tracking, and maintaining efficient workflow systems to enable smooth team operations; and
• undertake ad-hoc duties and tasks as assigned by the supervisor, providing responsive and flexible support to emerging priorities and team needs.
