Executive Assistant (at the rank of Clerk II) in the Communications and Public Affairs Office (Ref.: 536349)

The Communications and Public Affairs Office (CPAO) of The University of Hong Kong (HKU) enhances HKU's reputation through branding, events, digital communications, media relations, and more. The Office is also responsible for University events and ceremonies, publications, both external and internal communications, crisis management, and community engagement. We are inviting talented candidates to join our team.

Key Responsibilities 

As the Executive Assistant, you will: 

  • Provide secretarial support to the Director, including calendar management, travel arrangements, scheduling meetings, coordinating visits and official events, handling incoming correspondence, preparing documents, collaborating closely with internal departments and external stakeholders;
  • Provide administrative support to the Office, including handling inquiries, coordinating meetings, overseeing office supplies and inventory, furniture acquisition and disposal, facility maintenance and repairs, and managing correspondence and documentation;
  • Coordinate effectively with team members and maintain regular communication with various central administrative offices across the University; and
  • Perform any other duties, responsibilities, or ad-hoc projects and events within CPAO as required, in support of operational needs.

Qualifications and Qualities

We are seeking a motivated individual who possesses the following skills and experience: 

  • A Bachelor’s degree, with at least three years of relevant work experience preferably in a tertiary institution or in the education sector;
  • A good command of written and spoken English and Chinese, including Putonghua;
  • Proficiency in PC applications, including standard office software (e.g. MS Office);
  • Excellent interpersonal, communication and problem-solving skills;
  • Well-organized, attentive to details, highly motivated, able to work independently and multitask;
  • Strong sense of integrity, responsibility, teamwork, and commitment to providing excellent service; and
  • Willingness to work outside regular hours (including overtime or weekends as needed), be on a duty roster, and be subject to job rotation within CPAO.

What We Offer

The appointment will be made on a fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of the basic salary.  Other benefits include annual leave and medical benefits.
