Clerk I/II (holding the functional title of Senior Executive Assistant/Executive Assistant) in the Hong Kong Jockey Club Global Health Institute (HKJCGHI), School of Public Health (Ref.: 536185), to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance.
HKU has partnered with International Vaccine Institute (IVI) and The University of Cambridge to establish the HKJCGHI, funded by the Hong Kong Jockey Club Charities Trust. IVI is a non-profit international organisation dedicated to vaccines and vaccination for global health. The Epidemiology, Public Health, and Impact (EPIC) unit of IVI coordinates the epidemiology, pandemic preparedness and capacity building work streams of the HKJCGHI. These areas of work are integrated with HKJCGHI activities of the EPIC Unit in Seoul.
Applicants should possess a recognized Bachelor’s degree with at least 3 years of relevant work experience, preferably in tertiary institutions. Non-degree holders with substantial relevant experience will also be considered. They should have a good command of written and spoken English and Chinese; good computer proficiency, especially in using Microsoft Office software; strong organisational and communication skills; and the ability to work independently as well as in a team. They should be detail-oriented, self-motivated, and able to prioritize multi-tasks efficiently and produce quality outputs under pressure and tight deadlines. Those with lower qualifications and less experience may be considered for appointment as Executive Assistant.
The appointee will be assigned to the IVI team to support the ad-hoc and non-routine administrative support to IVI-led workstreams, particularly for meeting and workshop organization and procurement of laboratory equipment and supplies, logistic support, record-keeping, and procurement and inventory management. He/she will also be required to support finance, human resources matters and overseas duty travel; liaise and coordinate with internal and external stakeholders; assist in preparing reports and maintaining project records; and perform other duties as assigned.
