Administrative Assistant I/II in the President’s Office (Ref.: 534554)
 
We are seeking a high-calibre candidate with exceptional skills and potential to join the President’s Office as Administrative Assistant I/II (AAI/AAII). The appointee will report to the Executive Vice-President (Administration and Finance) (“EVP”) or her representative.
 
The Role
 
The AAI/II will provide a full spectrum of administrative support to the EVP, whose portfolio covers, amongst others, strategic leadership and oversight of fiscal affairs, budget and finance management, facilities management, healthcare and safety management, information technology services, and governance of development projects. The appointee will:
 
  • Assist in coordinating and managing daily administrative operations for the EVP.
  • Support the EVP in the coordination of various projects and change management initiatives.
  • Facilitate effective communication and liaison within the University and with external stakeholders, ensuring smooth information flow and timely dissemination.
  • Prepare reports, proposals, presentations and correspondence in a timely and professional manner.
  • Organize meetings and events for the EVP, including logistics and documentation.
  • Maintain confidentiality and uphold the highest standards of integrity and professionalism.
  • Perform any other duties as assigned by the EVP.
 
Qualifications and Qualities
 
  • A good bachelor’s degree, preferably with a higher degree.
  • At least 7 years of relevant experience in sizable organizations. Experience in both local and Chinese Mainland settings is advantageous.
  • Deftness in interpersonal communication and coordination ability for facilitating effective and impactful exchange within the University and with external stakeholders.
  • Awareness of current affairs especially developments in the Chinese Mainland.
  • Excellent communication skills in written and spoken English and Chinese (including Putonghua), with the ability to present ideas persuasively from insightful perspectives.
  • Perceptive faculty, strong conceptual and analytical skills plus good computer literacy.
  • Highly motivated, proactive, detail-oriented, and well-organized, with the ability to work independently and manage multiple priorities.
  • Candidates with less experience may be considered for appointment as Administrative Assistant II.
 
What We Offer
 
The appointment will be made on fixed-term full-time contract for two years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. The appointment will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 15% of basic salary for AAI, or up to 10% for AAII.
