Administrative Assistant II / Executive Officer (holding the functional title of Manager / Assistant Manager) in the School of Computing and Data Science (several posts) (Ref:534330) ( to commence as soon as possible, on a two-years fixed-term basis or one-year temporary basis subject to qualifications and experience, with the possibility of renewal subject to satisfactory performance and funding availability.)

With the establishment of the School of Computing and Data Science, we are seeking high-caliber and forward-thinking team leaders to support the School’s strategic initiatives and growing academic development across the following key functional areas:
1. Research and Research Postgraduate (RPg) Studies
2. Academic Programme
3. Finance and Office Management
4. Human Capital Development

The Roles
The appointees will assume a coordination and supervisory role within their respective functional teams, and provide administrative support as required by the School Secretary. They are expected to handle ad-hoc projects with sound judgement independently, liaise professionally with stakeholders, supervise junior staff, and contribute to effective cross team collaboration.

For Roles in the Area of Research and RPg Studies:
• Coordinate research grant applications, proposals vetting, and compliance;
• Provide full administrative support for RPG matters at the School;
• Serve as the primary contact point for the School in coordinating research, tech transfer and research postgraduate matters in coordination with the School’s three divisions, administrative Faculty, central units and relevant stakeholders;
• Admissions, student progress, examination arrangements, and record management; and
• Provide secretarial support to committees as required.

For Roles in the Area of Academic Programme:
• Oversee administration of School’s UG and Taught Masters programmes;
• Support School programme reviews, student data reporting, SIS administration and quality assurance;
• Serve as the primary contact point for the School’s academic and student matters in coordination with the School’s three divisions, administrative faculty, central units and relevant stakeholders; and
• Provide secretarial support to Teaching & Learning, Scholarship, Quality Assurance, Academic Review related committees.

For Roles in the Area of Finance and Office Management:
• Oversee budgeting, financial planning, procurement, and expenditure monitoring;
• Serve as the primary contact point for coordinating the finance and budgeting matters with the School’s three divisions, administrative Faculty, central units and relevant stakeholders;
• Manage general office daily operations, and facility management;
• Ensure compliance with University policies and financial regulations;
• Provide operational support to senior management as needed;
• Oversee staff onboarding with workspace setup, access cards, and office orientation; and
• Coordinate office events, staff activities, and general administrative support for the team.
For Roles in Human Capital Development
• Provide hands on administrative support to senior management;
• Support staff development planning and coordinating staffing needs of the School across Hong Kong and Shanghai;
• Supporting implementing HR policies and employee engagement activities;
• Help maintain HR policies and procedures by drafting updates, tracking compliance, and preparing documentation;
• Support staff onboarding/offboarding processes, ensuring smooth transition and accurate record keeping; and
• Liaise with internal teams to support organizational development initiatives and handle routine employee enquiries.

Qualifications and Qualities
• A recognized Bachelor's degree or above;
• At least 5 years of relevant industry/ higher education experience;
• Excellent organizational, interpersonal and communication skills;
• A proactive, detail-oriented and self motivated work attitude, with the ability to manage tasks independently and lead junior staff;
• Strong digital proficiency, including Microsoft Office applications;
• Excellent command of English and Chinese, including Putonghua.

What We Offer
The appointments will be made on fixed-term full-time contract for 2 years, OR temporary full-time contract for 1 year, depending on qualifications and experience. The appointments are expected to commence as soon as possible with the possibility of renewal subject to satisfactory performance and funding availability. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary. Other benefits include annual leave and medical benefits.
