Applications are invited for appointment as Executive Officer at the HKU Web3 Institute (Ref.: 534205).
 
The Web3 Institute is a dynamic new hub at HKU dedicated to research, policy advocacy, and entrepreneurship in the decentralized web ecosystem. We are seeking a highly organized and proactive officer to provide comprehensive administrative support to the Institute’s leadership and research teams.
 
Reporting to the Co-Directors and Chief Program Officer, you will be the administrative backbone of the Institute, ensuring smooth daily operations, efficient financial processing, and the successful execution of events. While the Institute focuses on cutting-edge technology, this role focuses on the essential administrative excellence required to support that innovation. 
 
The Role
 
  • Office Administration: Manage day-to-day office operations, including procurement of equipment, handling correspondence, maintaining filing systems, and serving as the primary point of contact for general enquiries.
  • Financial Administration: Assist in budget monitoring, processing reimbursements, handling invoices, and ensuring all financial transactions comply with University regulations.
  • HR Support: Assist with the recruitment and onboarding of staff, student helpers, and visitors, including visa applications and appointment logistics.
  • Event Coordination: Provide logistical support for Institute activities, including seminars, workshops, hackathons, and international conferences.
  • Committee Support: Serve as secretary to internal committees, preparing agendas, taking minutes, and following up on action items.
  • Liaison: Coordinate with central administrative offices (Finance, Human Resources, Estates) to ensure the Institute’s needs are met efficiently.
 
Qualifications and Qualities
 
  • A good Bachelor’s degree from a recognized university.
  • At least 3-5 years of relevant post-qualification administrative experience, preferably within a tertiary education institution or a large public organization.
  • Excellent command of written & spoken English and Chinese (incl. Putonghua).
  • Proficiency in MS Office (Word, Excel, PowerPoint) and IT literacy.
  • Strong organizational and problem-solving skills with high attention to detail.
  • Ability to work independently, prioritize multiple tasks, and meet tight deadlines.
  • A strong sense of responsibility, excellent interpersonal skills, and a team-player mentality.
  • Preferred but not required to have an interest in or basic understanding of the technology sector, startups, or Web3 concepts is an advantage. We value a willingness to learn and adapt to a dynamic research environment.
 
What We Offer
 
The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary. Other benefits include annual leave and medical benefits.
