Clerk I/II in the LKS Faculty of Medicine (Ref.: 534185) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance)

The appointee will play a pivotal role in ensuring smooth daily operation of the General Office through efficient administrative support and team coordination. 

 

Main Responsibilities:

  • Handling routine administrative duties, including processing invoices and bills, payment reimbursements and financial documentation with accuracy and timeliness
  • Managing incoming faxes, mail and general office correspondence
  • Coordinating and assisting with minor office renovations, office storage, furniture procurement and space utilization
  • Overseeing maintenance, repair and inventory of office machinery and equipment, stationery and office set-up (e.g. printers, photocopiers etc.)
  • Supervising and guiding a team of office assistants and clerical assistants by preparing duty rosters, providing work instructions and monitoring performance
  • Organising logistical set-up and support for major faculty events in coordination with other teams
  • Performing other ad-hoc administrative tasks as assigned by the senior management and team head

 

Requirements:

  • 5 passes in HKCEE including English (min. Grade C if Syllabus A/Level 2 from 2007), Chinese (Level 2 from 2007) and Mathematics; OR min. Level 2 or equivalent in 5 subjects in HKDSEE including English Language, Chinese Language and Mathematics with at least 5 years’ relevant work experience
  • Strong organizational and multitasking skills with a meticulous eye for detail
  • Proficiency in both written and spoken Chinese and English
  • Excellent interpersonal and communication skills to liaise with internal units, external vendors and service teams
  • Hands-on experience in office administration, team supervision, and event logistics is highly desirable
  • Familiarity with tertiary institutions, financial processing, procurement procedures, and office maintenance workflows is an advantage
  • Ability to work independently and under pressure in a fast-paced and demanding environment
  • Proficiency in MS Office and Chinese work processing
  • Candidates with lesser experience may be considered for appointment as Clerk II

 

Work outside office hours and on weekends may be required occasionally. Shortlisted candidates will be invited to attend an interview and/or written test.
