Administrative Assistant II in the President’s Office (Ref.: 533446)

We are seeking a high-calibre candidate with exceptional skills and potential to join the President’s Office as Administrative Assistant II (AAII). The appointee will report to the Provost and Deputy Vice-Chancellor (“Provost”) or his representative.

The Role

The AAII will provide comprehensive administrative and executive support to the Provost, whose portfolio covers, amongst others, strategic planning, academic development, budget planning and allocation, faculty development, and other major strategic initiatives. The appointee will be required to:

  • assume advanced administrative responsibilities which require in-depth understanding of policies and relevant principles.
  • maintain effective communication within and outside of the University.
  • facilitate the logistical planning and execution of executive meetings, committees, and strategic events, encompassing agenda development, meticulous documentation, and the management of subsequent follow-up initiatives.
  • perform any other duties as assigned by the Provost.

Qualifications and Qualities

  • A good bachelor’s degree, preferably with a higher degree.
  • At least 6 years’ relevant experience in administration in sizable organizations, including tertiary institutions. Prior experience supporting senior executives in a fast-paced and dynamic environment is preferred.
  • Familiarity with academic administration and governance in a university setting.
  • Excellent written and spoken skills in English and Chinese (including Putonghua).
  • Independent in handling non-routine business with initiative, effectiveness and strong commitment.
  • Excellent conceptual, analytical, and problem-solving skills, along with strong computer literacy.
  • Ability to effectively manage multiple tasks, prioritize competing demands, meet tight deadlines and uphold confidentiality.
  • Effective in collaborating and communicating with individuals at all levels within the University and with external bodies.
  • Ability to exercise independent judgment on policy and resolve issues of a complex nature.

What We Offer

The appointment will be made on a fixed-term full-time contract for two years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. The appointment will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totaling up to 10% of basic salary.
