Administrative Assistant I (Global Engagement) in the Faculty of Business and Economics (Ref.: 531718)
The Faculty of Business and Economics at the University of Hong Kong is committed to excellence in education, research, and community engagement. We are seeking a results-driven Manager who embraces growth and challenges to support the Associate Dean in expanding the Faculty’s international footprint and promoting international exchange.
The Role
As the Administrative Assistant I supporting the Associate Dean (Global Engagement), you will play a crucial role in planning and implementing initiatives to enhance the Faculty’s international presence and exchange activities.
Primary job responsibilities include, but not limited to, the following:
- Plan and implement the establishment of a new Faculty centre overseas, including facilitating the administrative setup within the local context and adhering to Faculty guidelines, as well as assisting with related manpower recruitment;
- Cultivate and coordinate visit programs for delegations from overseas institutions.
- Promote the Faculty’s brand - highlighting research excellence, education, and community networks - through marketing and communication efforts, including content creation and digital marketing;
- Assist the Associate Dean (Global Engagement) in various research, planning, and communication efforts to build and execute solid partnerships with international collaborators;
- Liaise with faculty, staff, and external partners (university, corporate, public sector) to ensure the smooth execution of the above initiatives;
- Be prepared to occasionally travel, work outside of office hours and on weekends as needed; and
- Perform other duties as assigned by directors and supervisors.
Qualifications and Qualities
- Bachelor’s degree or equivalent experience in business administration or a related field; a master’s degree is preferred;
- Remarkable track record of at least 6 years of administrative experience;
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively;
- Excellent communication skills, both written and verbal, in English and Chinese;
- Ability to work independently while demonstrating a proactive approach;
- A can-do mindset with the capability to learn quickly, embrace challenges, and solve problems while complying with administrative guidelines;
- Willingness and ability to travel frequently overseas;
- Knowledge of academia and familiarity with emerging research topics such as Sustainability and AI is an advantage; and
- Candidates with lower qualifications and/or less experience may be considered for appointment as Executive Officer.
Shortlisted candidates will be invited to attend a written test/presentation and an interview.
What We Offer:
The appointment will be made on a two-year fixed-term contract, to commence as soon as possible with a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 15% of basic salary, with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits.
