Applications are invited for appointment as Finance and Administration Executive (at the rank of Executive Officer) in the Campus Services Office (Ref.: 532651), to commence as soon as possible, on a two-year fixed-term basis, with the possibility of renewal.

The Campus Services Office (CSO) is seeking a high-calibre individual to join the team as Finance and Administration Executive.  The CSO is a newly established unit to unify the management of various service entities, including catering services, on-campus business outlets, postgraduate residences, and future operations of guest accommodations and staff quarters.  The aims are fostering a service-oriented culture, improving operational efficiency, and ensuring the long-term financial sustainability of these units by taking a more dynamic business approach.

Qualities and Qualifications

  • Applicants should possess a Bachelor's degree preferably in Business Administration, Accounting, or related disciplines;
  • Not less than 5 years of proven work experience as an office manager or in a similar administrative role, preferably gained at universities, government, NGOs and/or research centres/institutes;
  • Substantial experience in handling administrative and financial matters;
  • Self-motivation and strong analytical, organizational abilities, multitasking, problem-solving, communication and interpersonal skills;
  • Excellent communication skills in English, Mandarin and Cantonese;
  • Proficiency in Microsoft Office Suite (Excel, Word, and PowerPoint); and
  • Ability to work independently and as a team in a fast-paced environment

Detailed Responsibilities

  • Develop, review and execute operational and administration guidelines and documents, implement and improve office policies and procedures for efficiency;
  • Manage procurement of office supplies and equipment, oversee office repair, maintenance and renovation work, monitor computer services and software applications;
  • Handle full set of accounts, prepare monthly and annual management reports, liaise with auditors for annual audit and external parties for operational and financial issues;
  • Provide finance and procurement functions including monitoring budgets and expenses, daily accounting and cash management, procurement of goods and services;
  • Liaise with the University community, external parties and professionals to connect with resources useful for providing administrative and financial services, including proposal and budget review for management;
  • Lead the setting up of the new office including renovation, office supplies, brand new website (and/or social media) and system set up;
  • Handle full-spectrum of human resources functions, including recruitment and onboarding of new employees;
  • Prepare and organize documents, reports, and presentations; and
  • Participate in ad-hoc projects and duties, as assigned by the Director

A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. The appointment will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totaling up to 10% of basic salary.
