Head (Strategy and Operations) (at the rank of Assistant Registrar/Administrative Assistant I) in the Faculty of Engineering (Ref.:537496), to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totaling up to 15% of basic salary, with the possibility of renewal subject to satisfactory performance.
Applicants should possess a good Bachelor’s degree with at least 10 years of relevant full-time administrative and management experience, preferably gained in the tertiary education sector. A higher degree would be an advantage. They should have an excellent command of written and spoken English and Chinese, including Cantonese and Putonghua. Applicants should be mature, meticulous, self-motivated, and collaborative team players with strong organisational, leadership, and communication skills. They should possess the ability to think strategically, drive initiatives, build effective stakeholder relationships, and manage multiple priorities in a dynamic environment. They should exercise sound judgment and demonstrate initiative in handling a wide range of responsibilities. A strong commitment to service excellence and results, coupled with excellent interpersonal, time-management, problem-solving, and multitasking abilities, is essential. Experience in leading teams, managing complex operations, and working across Hong Kong and Mainland China would be an advantage. Applicants with less experience may be considered for appointment as Administrative Assistant I.
The appointee will play a key role in advancing the Faculty’s strategic priorities and its operations in Hong Kong and Shanghai. Working closely with the Faculty’s leadership, the appointee will contribute to the formulation and implementation of strategic initiatives aligned with the Faculty’s long-term goals, and ensure effective coordination and operational integration across Hong Kong and other locations. Key responsibilities include but are not limited to:
- Facilitating the strategic development and operations of the Faculty of Engineering at the HKU Zhangjiang Base in Shanghai, with oversight of key functional areas, including human resources, accounting and financial management, site administration, academic programme administration, event coordination, external engagement, and general office administration;
- Driving the planning and implementation of strategic initiatives, policies, and procedures, while fostering close coordination between the Faculty’s Hong Kong and Shanghai operations;
- Advising and supporting the Faculty’s management, including the Dean, Associate Deans, and the Faculty Secretary, on strategic, operational, and administrative matters, and contributing to the effective governance and management of the Faculty;
- Leading a team of staff to deliver high-quality services; address complex operational issues; and promote continuous improvement in systems, processes, and service standards;
- Acting for the Faculty Secretary, as and when required; and
- Representing the Faculty and cultivating effective relationships with internal and external stakeholders in Shanghai, Hong Kong, and other locations, as necessary.
The role may require periodic travel to Mainland China to spearhead the Faculty’s strategic initiatives. It requires a proactive and adaptable individual with strategic vision, sound judgment, and the ability to lead complex operations and manage multiple priorities in a dynamic academic environment. The appointee will also perform other duties as assigned by the Dean and the Faculty Secretary in support of the Faculty’s mission and objectives.
