Manager/Assistant Manager (Digital Channels) (at the rank of Administrative Assistant II/Executive Officer) in the Communications and Public Affairs Office of the Registry (Ref.: 536119)
The Communications and Public Affairs Office (CPAO) of the Registry of the University of Hong Kong (HKU) enhances HKU's reputation through branding, events, digital communications, media relations, and more. The office is also responsible for University events and ceremonies, publications, both external and internal communications, crisis management and community engagement. We are looking for talented candidates to join the team.
The appointee will be the front face of CPAO’s digital team, maintaining close relationships with external vendors and internal stakeholders (especially Information Technology Services (ITS)) and leading digital and AI‑enabled transformation projects.
He/She will be responsible for planning, executing, monitoring and completing various website and digital platform development projects (using Agile, Kanban, Waterfall or Scrum), maintaining the operation of existing digital channels, and driving the adoption of AI and Gen AI tools (including Adobe’s AI features and leading GenAI platforms) to enhance our digital communications.
Key Responsibilities
As the Manager/Assistant Manager (Digital Channels), you will be working together with the team head on the following tasks:
Digital channels & web project management
- Project manage the ongoing development and update of the hku.hk website
- Plan projects effectively, taking into account constraints (time, budget, scope, people) and flag potential resource shortfalls in a timely manner;
- Interpret user, Faculty and Department needs and outputs from UI, visual and content design, and translate them into clear, implementable specifications for web development vendors;
- Build and maintain strong rapport with external vendors and internal partners to ensure that the current website and UVision (integrated digital panels) developments run efficiently and to a high standard;
- Provide weekly project status plans and updates to key stakeholders within CPAO;
- Manage CMS content for the current system (both websites and UVision), ensuring accuracy, timeliness and brand consistency; and
- Support and advise other CPAO team members on digital/ AI development projects, including liaison with external vendors and ITS.
AI, GenAI and digital/AI transformation
- Lead and manage digital and AI transformation projects that enhance HKU’s digital communications with the support of external vendors, such as:
- AI‑assisted content creation and editing (text, image, video)
- AI‑enabled personalisation and user journeys on web properties
- AI chatbots/virtual assistants for key audiences (e.g. prospective students, media, alumni)
- AI‑supported analytics, insights and reporting
- Drive the effective use of AI features in Adobe products to streamline creative workflows and improve content quality;
- Establish and promote best practices, guidelines and workflows for the safe, ethical and compliant use of digital and GenAI in CPAO (e.g. data privacy, copyright, bias and transparency);
- Champion change management for AI‑related initiatives: train and support colleagues on new AI tools and processes, gather feedback, and refine ways of working; and
- Monitor emerging AI trends, tools and regulations relevant to higher education communications and advise management on opportunities and risks.
Qualifications and Qualities
We are seeking a motivated individual who possesses the following background and experience:
- A good University’s degree, preferably in Web, IT, Information Management, Digital Media, Communications Technology, or a related discipline; or equivalent professional experience;
- Significant (8+ years) hands‑on project management experience in a web or digital context, using primarily Agile methods (Scrum, Kanban), including projects of varied size and complexity;
- Proven experience with web content management systems and large, complex websites, ideally in a multi‑stakeholder environment; and
- A recognised project management qualification relevant to the digital field, such as Certified Scrum Master, Agile Project Manager, Product Owner or equivalent, is preferred.
AI / GenAI and digital transformation capabilities
- Solid, hands‑on experience applying Generative AI tools in a professional context (e.g. for content generation, image/video creation, summarisation, research support, analytics or automation);
- Familiarity with leading GenAI platforms and ecosystems (e.g. OpenAI, Claude and comparable tools), and the ability to evaluate which tools are appropriate for specific business needs;
- Experience working with or managing AI/technology agencies or vendors on AI‑related projects (e.g. chatbots, recommendation engines, intelligent search, AI‑enhanced analytics or marketing automation);
- Practical experience using Adobe tools, esp. CMS and their AI features, or the ability to collaborate closely with creative teams that use them; and
- Good understanding of data privacy, information security and ethical considerations in AI usage, particularly in a higher education context.
Soft skills and other attributes
- Great organisational, interpersonal and prioritisation skills;
- Strong verbal and written communication skills in English, including the ability to translate technical and AI‑related concepts into clear, everyday language for non‑technical stakeholders, as the front face of the department. Fluency in Cantonese is highly preferred;
- Ability to work effectively with people at all levels, manage expectations and build consensus across diverse stakeholders;
- Proactive, adaptable and curious, with a strong interest in staying current with digital and AI developments; and
- Immediate availability would be highly preferred.
What We Offer
The appointment will be made on a fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of the basic salary. Other benefits include annual leave and medical benefits.
